Responsibilities
- The Closing File Specialist is responsible for following up with loan packages and ensure processes are followed according to policies and procedures
- Track responses to findings, review for adequacy, and evaluate ongoing improvement
- Maintain records and documentation and conducts correspondence related to all quality control reviews
- Prior to recording, verify all legal documents for correct acknowledgements, legal, and lien information
- Review closing and legal documents to ensure that the mortgage file information is complete, accurate and consistent with other documents in the mortgage file and that the loan was closed, and funds disbursed in accordance with the underwriting and closing instructions
- Review loan packages, adding necessary firm documents and title documents to unexecuted loan packages
- Interpret legal documents from attorneys and clients related to Trusts, Estates, Power of Attorneys, Court Order Accounts, etc.
- Assist with mortgage loan closing process by reviewing loan documents for compliance, completeness, and accuracy
- Obtain missing information, prepare files, and provide support to internal and external customers
- Complete a Quality Assurance review of all unexecuted loan and document packages in queue for referral to signing agents
- Complete a Quality Assurance review of all documents executed during the settlement process
- Review various checklists and update title production system for steps completed for the settlement process
- Receive, review, and note exceptions to counsel on all executed loan documents as it’s related to the settlement
- Notify management of all potential high-risk matters that pose a risk to the company, clients, and partners or lenders
- Prioritize allocated work to ensure timely and accurate resolution to both external and internal partners
- Perform other duties as assigned by management
Qualifications
- Bachelor’s degree in related field preferred or equivalent work experience is required
- 2+ years of paralegal experience in a real estate law firm or equivalent experience in title review, mortgage document review, or related field
- Knowledge of title work, property vesting, general workings of property ownership, and liens
- Maintains flexible hours
